FERPA Training
Effective April 23, 2003
FERPA Training has moved! Training is now being offered by the Office of Curriculum and Registration, via the online web course. – www.registrar.arizona.edu
Go directly to the
FERPA Web Course.
FERPA training is required for employees who use the Student Information System and is recommended for anyone who has access to student or employee records.
For departments that require access to the Electronic Status Web Page, the Dean, Director or Department Head must complete FERPA training. The Electronic Status
Web Page provides up-to-date information regarding the CatCard holder status.

Electronic Status Website
Historically, the official University identification and
service entitlement systems consisted of stickers on physical cards that
indicated various entitlements or status codes. For example, a sticker from the
Library indicated that your current address was on file at the Library.
However, this sticker also came to mean that you were enrolled in classes, even
though the sticker was not intended to indicate this at all. Regarding faculty
and staff, a sticker was applied to the identification card each fiscal year
and it entitled services for an entire year, such as bookstore discounts.
With the introduction of the new identification card on our campus, a status
was not printed on the card, and stickers were eliminated from the campus
community. The Electronic Status Website was developed, with assistance from the
UA Attorney’s Office, to provide on-campus departments with current information
regarding the affiliation of a particular cardholder. Benefits have included :
- Current information regarding those being serviced
- More accurate data to make decisions including semester specific enrollment
Electronic Status Requests for Access
Access to the Electronic Status is granted after the department head :
- Attends FERPA training
- Acquires the Dean, Director, Department Head training responsibility and access packet for the Electronic Status Database
- Signs and returns an authorization form to the CatCard Office
Access is granted to specific registered users based on departmental login, and the department head is responsible and accountable for :
- The departmental login and administration of that login
- FERPA training for their staff
- Usage of the website by specific individuals at the specific computers identified by the CatCard Office
- Forwarding requests to register additional users to the CatCard staff
Department head forms are archived by the CatCard office staff.

CatCard DataMart Access
The CatCard DataMart (CDM) was designed to provide ISO keyed access to specific data elements for use by University of Arizona Departments. It was
specifically designed for departments that have data needs beyond the scope of the Electronic Status Website, and need or have been mandated to access
that data without using the Social Security Number.
CatCard DataMart Requests for Access
- Requests for access come, generally, to the CatCard staff. Those making requests are referred to the Data Stewards committee. Generally the
department is placed on the agenda with instructions to be prepared to present the needs for access including requests for specific table
access and justification for the request.
- Data Stewards hears the requests and approves or denies the request.
- If approved, the data stewards' approval is sent via e-mail or in writing to the CatCard Analyst along with the specific table access.
- The CatCard Analyst sends a request to the CCIT representative to request an account on the server.
- The account information is forwarded back to the CatCard Analyst who provides the approved table access.
